Biometric Attendance vs Mobile Attendance App: Which Is Better for Small Businesses in India?
Compare biometric attendance machines and mobile attendance apps on cost, maintenance, cloud access, GPS, multiple locations and salary workflows for Indian SMEs.
If you are replacing a paper register, Excel sheet or manual attendance process, one of the first decisions is usually:
Should we buy a biometric attendance machine, or use a mobile attendance app?
Both can record employee attendance, but they solve the problem differently.
A traditional biometric system is primarily a hardware-led solution: a fingerprint or face-recognition terminal is installed at the workplace and employees punch on that machine.
A modern mobile attendance system is primarily a software-led solution: attendance is captured through registered devices while records, rules and workflows are managed centrally in the cloud.
For a small business, that difference affects not only the punch itself, but also cost, maintenance, access to data, expansion to new locations and what happens after attendance is recorded.
Biometric identity itself is the requirement
- Fingerprint or face matching is mandatory.
- You already have biometric infrastructure.
- You specifically want a dedicated attendance appliance.
You want simpler infrastructure and better access
- You want lower dependence on specialised hardware.
- You need attendance data available from outside the office.
- You want easier multi-location expansion and connected workflows.
Biometric attendance vs mobile attendance app: at a glance
| What matters | Traditional biometric machine | Mobile / cloud attendance |
|---|---|---|
| Hardware | Dedicated attendance terminal | Standard Android device can be used |
| Initial setup | Machine + installation + configuration | Device + software setup |
| Data access | Depends on the machine and its software/cloud integration | Centrally available through the cloud |
| Access away from office | Depends on integration | Authorized access through Kavit |
| Multiple locations | Usually needs attendance setup at each location | Add approved workplaces and devices |
| Maintenance | Specialised attendance hardware | Mainly standard Android hardware + software |
| Identity/evidence | Fingerprint or face biometric match | Device controls + location + live selfie evidence |
| Leave & salary | Depends on HR/payroll integration | Can connect attendance, leave and salary workflows |
There is no universal winner. The better system is the one that gives your business enough control and evidence with the least ongoing operational effort.
1. Cost and maintenance: hardware-led vs software-led
The most obvious difference is the hardware model.
A traditional biometric installation may involve the machine itself, mounting, power, network setup, employee biometric enrollment, vendor configuration and eventual repair or replacement.
That does not automatically make biometric attendance expensive or unsuitable. A good machine can work reliably for years.
But the business is still maintaining a specialised attendance device.
A software-led system such as Kavit can use a standard Android device as the attendance point. In a Shared Office setup, the business can keep a registered Android phone at the workplace and employees use that common device to mark attendance.
The business may already have a suitable phone. Even if it buys one specifically for attendance, it is standard consumer hardware that is generally easier to source and replace.
Compare total cost, not only purchase price
The useful comparison is not simply:
“How much does the biometric machine cost?”
It is:
What will this attendance setup cost and require over the next few years?
A hardware-led model may involve:
machine + installation + support + maintenance + replacement + additional machines as locations grow
A software-led model is closer to:
standard Android hardware + internet + cloud software
There are costs in both models. But for a small business, especially one adding locations, reducing dependence on specialised hardware can lower the total infrastructure burden and reduce maintenance friction.
2. Cloud access: the attendance device can stay at work, while the data travels with you
This is one of the strongest practical differences for an owner.
With many traditional standalone biometric installations, the device records punches at the workplace. Management visibility may depend on downloading records, synchronizing the machine, using local desktop software or connecting a separate cloud service.
Modern cloud-connected biometric products can also provide remote access, so this is not a limitation of every biometric system.
The important distinction is between a standalone hardware-centric setup and a cloud-first attendance platform.
With Kavit, attendance information is centrally available
Kavit stores attendance information centrally rather than treating the attendance phone as the final place where records live.
An authorized owner or administrator can access Kavit and review information such as:
- who has marked attendance;
- employee attendance history;
- first and last punches;
- attendance issues;
- leave records;
- monthly attendance; and
- salary-related attendance information.
The attendance device remains at the workplace. The information does not.
That matters when the owner is at home, travelling, at another branch or simply not sitting beside the attendance device.
Cloud attendance is therefore not just about backup. It gives the business management visibility from wherever the owner has authorized access to Kavit.
3. Multiple locations: software changes the economics of expansion
Consider a business with one office, two stores and a warehouse.
In a hardware-first model, each workplace may need its own attendance machine and setup. As more branches open, the physical attendance infrastructure grows with them.
A software-led model can scale differently.
With Kavit, attendance is designed around configured, approved workplace locations. A new fixed workplace can be configured and an appropriate registered Android attendance device can be deployed there.
That can make adding the next branch simpler because the central software and data model already exist.
This is particularly useful for:
- retailers with several stores;
- distributors with office and warehouse locations;
- clinics;
- workshops;
- factories; and
- owner-managed businesses where the owner moves between sites.
For a deeper explanation of location controls, see GPS Attendance for Multiple Locations.
4. Identity and attendance evidence: the two approaches are different
Biometric systems and mobile attendance systems do not establish attendance in the same way.
What biometric attendance does well
A fingerprint or face-recognition terminal attempts to establish identity through biometric matching.
When correctly implemented, this can provide strong identity verification. If biometric identity confirmation itself is a business or policy requirement, a biometric system may be the better choice.
What Kavit uses
Kavit uses a combination of controls including:
- a registered attendance device;
- configured workplace-location validation;
- employee/device controls; and
- a live selfie captured as attendance evidence.
The selfie can be reviewed when needed.
Kavit does not currently use face recognition or liveness matching as an attendance acceptance gate. It should therefore not be described as biometric face-recognition attendance.
The model is different: create a controlled digital attendance record with device, workplace and selfie evidence.
For many small businesses, that can be a practical middle ground between a manual register and dedicated biometric infrastructure.
5. Mobile attendance does not mean “punch from anywhere”
A common concern is that if attendance happens on a phone, employees can mark attendance from anywhere.
That does not have to be the case.
Kavit Attendance operates around configured, approved fixed workplace locations such as an office, branch, shop, warehouse, factory, workshop or clinic.
The server checks the reported device location against the configured workplace and allowed attendance radius.
Kavit is not positioned as continuous employee tracking. Location is checked when required for attendance-related events.
This gives the business workplace control without turning the system into continuous location surveillance.
Shared Office
A registered Android device is kept at the workplace and employees use that common device to mark attendance.
This is conceptually close to the role of a biometric terminal:
one controlled attendance point for the workplace.
The difference is that it runs on standard Android hardware and connects directly to the cloud workflow.
Personal Mobile
Where the employer enables it, an eligible employee can use a registered Personal Mobile attendance device.
The device is bound server-side to that employee and business, and attendance remains restricted to configured approved workplace locations.
Personal Mobile therefore does not mean unrestricted work-from-anywhere attendance.
6. Attendance should connect to what happens next
Recording IN and OUT is only the first part of the business problem.
At month-end, someone still needs to understand:
- how many days the employee worked;
- full-day and half-day outcomes;
- attendance issues;
- paid or unpaid leave;
- absences;
- holidays and week offs; and
- the salary impact.
A biometric terminal can provide punch data, but what happens next depends on the software connected to it.
Kavit is designed so attendance can feed into a broader workforce workflow:
Attendance → Leave → Suggested Salary → Finalized Salary History
Kavit is not currently positioned as a complete statutory payroll product for PF, ESI and TDS.
For many small employers, however, simply reducing the manual reconciliation between attendance, leave and salary can save significant month-end effort.

7. Which system should your business choose?
Choose a biometric attendance machine when:
- fingerprint or facial biometric verification is mandatory;
- biometric identity confirmation is an important company requirement;
- you already have biometric machines and established integrations;
- your existing HR/payroll system already handles those machines well; or
- you specifically want a dedicated appliance whose only purpose is attendance.
In those cases, replacing working biometric infrastructure merely because mobile attendance exists may add little value.
Consider a mobile/cloud attendance system when:
- you are moving away from paper or Excel attendance;
- you want lower dependence on specialised attendance hardware;
- you want attendance data centrally available in the cloud;
- owners or administrators need access away from the office;
- you operate from several fixed workplaces;
- you expect to add new locations;
- live selfie evidence and workplace-location controls meet your operational needs; or
- you want attendance connected with leave and salary.
For many Indian SMEs, this is the more useful way to frame the decision:
Do we specifically need biometric identity verification, or do we need a reliable, cloud-connected attendance workflow?
8. Where Kavit fits
Kavit Attendance is designed for small businesses that want practical workforce management without building their attendance process around specialised hardware.
Kavit supports:
- Shared Office attendance using a registered Android device;
- Personal Mobile attendance for eligible employee-bound devices;
- configured and approved workplace locations;
- server-side GPS/geofence validation;
- live selfie attendance evidence;
- multiple fixed workplaces;
- cloud-based attendance records;
- attendance registers and summaries;
- leave management;
- employee self-service;
- suggested salary; and
- finalized salary history.
The main advantage is not simply that a phone replaces a fingerprint machine.
It is that attendance becomes part of a cloud software workflow: easier hardware, centralized data, remote management visibility, multiple-location support and a direct path from attendance to leave and salary.
If biometric identity itself is mandatory, use a biometric solution designed for that requirement.
If your priority is lower hardware dependency, cloud access, easier expansion and connected attendance workflows, a mobile/cloud system such as Kavit is worth considering.
Turn attendance records into a simpler monthly workflow.
